11 2015 COMMUNICATION EFFICIENT AND PAINLESS 2 Introduction Communication is not only a verbal interaction it is also written The act of speaking is not considered to be communication alone as the necessity for both parties to understand the message is a priority in communication These verbal messages must be carefully planned out encoded properly to ensure they are clear and concise distributed through the proper channel decoded appropriately to understand and comprehend and afforded proper feedback to assure both parties understand These factors while being key to any mode of communication are not always strong in either party leaving the sender and receiver at odds and perhaps frustrated with the communication process Through the process of taking an online communication test coupled with reading about improving communication as well as experiencing communication aws in my personal and professional life I have acquired a fairly good idea of what skills I have that contribute to good communication as well as which skills I lack that contribute to bad communication My intent in this paper is to determine how to analyze these factors into a big picture scenario to best understand how to communicate as well as how to improve the skills lacking in my communication portfolio My Strengths One of the communication skills that I have shown an affinity to is the ability to seek and promote feedback Feedback is essential to communication as it provides necessary confirmation to the sender that the message was understood by the receiver Baack 2012 More importantly it allows each party to adjust the way they use verbal and nonverbal cues to get COMMUNICATION EFFICIENT AND PAINLESS 3 through to the other party Nonverbal communication specifically is a great way to provide feedback and the person may not even know they are doing so As a sender the ability to spot nonverbal cues from the audience is crucial in allowing for a shift of strategy to continue to hold the attention of the audience as well as to assure the message is getting through MindTools nd After all there are scarcely many things more frustrating than preparing and delivering a message that is not received properly The ability to spot nonverbal cues that indicate boredom confusion or dismay is important to become a good speaker or sender of a message Along with feedback one of my strengths in communication is choosing the correct channel to convey my messages Whether the use of facetoface over the phone teleconferencing using a text or writing an email is the correct way to communicate depends highly on the subject matter as well as the audience receiving the message For example a request to my coworker to provide details about a customer order is appropriate to communicate over email or perhaps even text While a facetoface meeting or using the telephone may be an option it is probably more efficient to use email and certainly more effective to establish a paper trail Likewise the necessity to alert the entire company of upcoming mandatory layoffs would be much more appropriate conveyed in person This type of emotionally charged message requires a bit of finesse as well as the presence of nonverbal cues to allow the employees to know that this is not an easy decision and it comes with great sorrow In fact it may be best to deliver this type of news at the end of the day or end of the week allowing some time to process the information Baack 2012 This type of negative message according to Dibble Wisner Dobbins Cacal Taniguchi Peyton amp Kubulins 2015 is one that typically requires more processing time than a positive message might Therefore allowing the audience enough time to COMMUNICATION EFFICIENT AND PAINLESS 4 digest the message is the proper way for the speaker to aid in good communication practices The ability to choose the proper channel to communicate through as well as providing crucial feedback to the conversation are strengths that I hope will carry me far in my communication processes Although the strengths of communication can help to carry a conversation through many iterations of communications the weaknesses that are present can easily cripple any chances of encoding or decoding the proper message when it matters Only through the realization of my strengths as well as the exploration and improving of my communication weaknesses can I begin to improve my ability to communicate properly in my personal and professional life My Weaknesses My biggest weakness in communication is probably best described as twofold Since communication is the act of both speaking and listening it requires one to properly encode a message so it can be understood as well as to properly decode a message to ensure the message is received These are both traits that I scored lower on although my ability to understand and utilize these traits is above average At times emotions will cloud my ability to properly take the time to decide what my message will sound like including what I think the receiver may take the meaning of the message to be When I am upset and lack the ability to properly encode the message more often than not the message is misunderstood often leading to more frustration This lack of encoding is a giant gap in the communication process and may often cripple the intent of the conversation While encoding can describe the codes and abbreviations that are used in tweets and texts COMMUNICATION EFFICIENT AND PAINLESS 5 B aack 2012 the critical part of encoding a message is ensuring it is done in a manner that the receiver can understand The second part of this communication breakdown is properly decoding the message which again if emotions play a part I will most likely not be able to understand the message fully Unfortunately this lack of strength in this trait tends to create a vicious circle since increased frustration breaks down my ability to actively listen and therefore hear the message which builds continuous frustration This is primarily because I am already thinking of what I want to say before I let the person finish speaking This is also true when the subject matter is particularly difficult lending to an environment that does not allow for proper communication In an article about communication gaps and pitfalls Contakes 2014 who is an assistant Chemistry Professor speaks of a common mistake made when confronted with uncomfortable conversation stating that awed conversationalists are often guilty of redirecting discussion of a pertinent but often challenging issue to an irrelevant but often easier one to argue p 176 This is an interesting tactic that is used when the ability or want to properly decode a message is absent yet control of the conversation is wanted My Improvement The improvement of these traits seem to be in the hands of one major factor patience While it is usually difficult to go into a conversation especially a heated one with the ability to want the conversation to last all day it is important to take the time to properly encode the message so it comes across with empathy authority and care At the same time it is equally important to listen to the entire message without distraction allowing for proper understanding COMMUNICATION EFFICIENT AND PAINLESS 6 of what the message entails These two traits require just as much patience as anything else and stretch beyond the ability to deliver a message In an article about the training of medical students it was uncovered that the primary focus of communication with patients revolved around verbal communication and had no focus on nonverbal communication This is troubling since according to Molinuevo Escorihuela FernandezTeruel Tobe a amp Torrubia 2011 Decoding patients nonverbal clues presents an opportunity for doctors to fully understand the patient and to express empathy p804 This is a testament to how important both nonverbal cues and empathy toward the receiver are in communication This is also why taking the time and patience to empathize with the other party will help me encode and decode the messages going around hopefully changing communication to an efficient and painless pI39OCCSS Conclusion Communication can be performed in multiple ways and of them verbal communication has many important factors that must be paid attention to From the beginning a message should be carefully crafted to address all of the proper items should be encoded in such a way that it is easy to understand and should be conveyed in a manner that is appropriate for the subject matter and audience Just as important are the decoding of the message by the receiver to ensure proper understanding of the intent as well as providing feedback to the sender about how the message was received These traits are all possessed by us in some fashion or another and after determining where my strengths and weaknesses lie I set out to determine how they work together and how to improve upon them Through the analysis of the big picture of communication how these traits work together and how my strengths and weaknesses affect my COMMUNICATION EFFICIENT AND PAINLESS 7
