Trident University International Bruce Herrington Jr ITM 501 Management Information System and Business Strategy Module 2 Case Assignment Dr Caroline Howard INTRODUCTION The purpose of this paper is to discuss the lessons learned from the Clinic and Resort cases about creating implementing and using Business Intelligence BI After my stance is made I will present as much evidence as I can against my position Finally my original stance will be reviewed and re affirmed I will complete this assignment in a 5 to 7 page paper BODY Both companies learned lessons when implementing business intelligence to include analysis the performance of their current databases and deciding the capabilities wanted by the new software They learn that by being honest about the limitations of their current database was hurting the productivity of the company badly They learned to apply the principles of businesses intelligence this process could be very effective This includes business strategy best practices and BI solution by purpose when applying the BI principles Because these companies were smart enough to use this as a guideline it allowed the company to find the best fit for them I think the company learned the most lessons in the creating phase they learned to analyze their existing system and come to the conclusion that this system needed to be upgraded The difference between the two companies is the Clinic implemented a new system and the Resort intergraded their new system with the old one They both created the desire to better serve their customers and to be able to fully analyze their progress What they both need was up to date information at their fingertips and they need to have a userfriendly system that did require technicians to gather the information Instead they want a system that was user friendly and didn t require a subject matter expert to decipher this information There was certain information these companies wanted to capture and their current systems weren t allowing them to get the total picture Implementation was the second phase and the companies learned that the smother this was done the easier it would be They both decided to conduct training for their employees to ensure they are setting the employees up for success and at the same time utilizing their new database The clinic learned the best way to get the doctors on board was to create buy in from them they showed them the advantages of using the new system and how it would make the employees job easier It took 9 months to get the new system online and user the train the trainer approach to educate all of their personnel on the proper use of the system The Resort learned during the implementation plan to integrate the two systems This allowed their 30person team which was already educated on the old system to grasp the improvements of the new system and other employees didn t even know about these upgrades because it didn t directly affect their daytoday operations In the end both companies learned how to implement these new changes seamlessly into their companies with buy in for all personnel involved This made this transition easier because it was welcomed and for both companies it lightened the workload for their employees Business intelligence was pivotal to these database changes made by both companies I think three areas really help both places have a great transition to these improved systems BI strategy document which falls under business strategy was the most important piece to this puzzle It keeps the company focused on their needs and how they were going to be met This is broken down into three focus areas what is to be built how will it be built when it will be ready to meet the users requirements The company learned to use this to decide the companies needs and how and when they are going to be met This was also important when these companies were looking for potential business partners for their database What it id was clearly outline the needs and goals of the company BI best practice was also used to narrow it down I think know when real time data is needed was a valuable lesson learn For the clinic this was vital because this information could be used to save many lives The new system was used to take those that might need more medical care like people with diabetes who could require more medical treatment I allowed the staff to immediate access to the medical history and closely observe their status all at the touch of a button The resort benefited from real time information too because they needed real time data when it came to dealing with customers especially when it can to reservations and to get real time information on customer satisfaction information These companies learned for the BI getting started portion too the BI lifecycle has to be important in the lessons learned area This is broken down into four steps collection reporting analytics and visualization This gave the companies a way to understand the process of data and how to transfer information into intelligence This helped them after the new database was put online and gave them a better understanding about how to process the data and the importance of this information These steps put the entire information gathering process into perspective for both of these companies All of these points on lessons learned could have contributed to the success of these companies retrieving the data that they felt they needed The problems could have been more then deciphering data and rested on the lack of training for all personnel involved in this process When analyzing their current system they could have found the lack of qualified personnel was the reason for these existing systems not being used to their complete capacity In the BI best practices it talks about the right people in the right position This could have been a problem for theses companies and the training received on a new system that was more users friendly could cover up some of the old problems Honestly what did these companies create other than another database that will require upgrades in the next few years as the companies needs grow again As far a the implementation goes these companies never listed any problems with the employees not being receptive to new ideas so how they put this database in place couldn t have been an issue it they really didn t care about the software Implementation can be considered to go smooth but in the end it is going to happen anyway These companies aren t concerned with how employees receive new processes and procedures They are only worried about one thing and that is results If the database were to take longer to produce this data it wouldn t matter to the top figureheads They just want to make sure the information reported is accurate and up to date The process is not even a concern to them accurate data and results are their only concern Having a good plan for implementation is key to any company making changes It can be the difference between employees accepting these changes or not accepting them Organizations have to be careful about how they go about implementing these changes Buy in is vital and can make this process go off without a hitch If people feel like they are being force to do something then push back is inevitable and will be a huge problem In order to get buy in employees have to be sold on the benefits of making these changes As human beings we will promote anything that makes things easier for us If you work for a company and they sell you on a new process that will make you job easier You will have very little resistance from anyone to implement this process or program When companies take the time to consider how to implement these new programs it show employees that they are being considered and not just made to do something This is the common courtesy that people expect and hope any company will treat them with How things are implemented can be the deciding factor to the success of a new procedure The Clinic and Resort reaped many benefits for using Business Intelligence and this has made a huge impact on how they do business They were given important information to make sound decisions What I think is overlooked in this assignment is the fact that both companies knew where their deficiencies were I believe this is the first step when trying to make improvements and changing how a company does business This was vital to the success of implementing this new program Like I said before improving processes for employees is always going to be a plus when making these changes Business Intelligence gave these two companies a leg up on competition I was the missing piece to making the information they gather more valuable and the driving force in decision making for both organizations These changes should be things other companies take note of and use technology to make things easier for them If this has become the secret to success for top companies then it should be a no brainier for all companies This is something that has produces results and that is something that cannot be disputed CONCLUSION In conclusion Business Intelligence is something that has really help companies and is not going anywhere for a long time Tangible data is something that all companies want to see and is very helpful in the decision making process All companies need to consider the benefits of this use of technology and how it can improve their processes BI is something that might involve some work in
