Trident University International Bruce Herrington Jr ITM 501 Management Information System and Business Strategy Module 1 Case Assignment Dr Caroline Howard INTRODUCTION The purpose of this paper is discuss if organizations are likely to find better solutions to information overload through changes to their technical systems or their social systems or both Why After my stance is made I will present as much evidence as I can against my position Finally my original stance will be reviewed and reaffirmed I will complete this assignment in a 5 to 7 page paper BODY Information overload has become a problem since technology has taken off Changes must be made to both technical and social systems to find better solutions to information overload The PTG Global required reading article stresses the importance of these changes As the information goes into detail about the Sociotechnical Systems STS theory it breaks down what every organization is made up of people using tools techniques and knowledge to produce goods and services valued by customers This shows that the two go hand in hand and changes to both can be instrumental in preventing information overload As pointed out in the article the underlying problem has to be address first in order to understand what the problem is For example a change for one company is not going to work for another company The reason is because information is used differently due to these differences it determines the amount of information need Combining the two is the best way to decrease information overload these two systems are vital to getting the information to the people providing the service The problem is streamlining the information so people and the systems are not overloaded This relationship is so very important to ensuring customer satisfaction and equipping employees with the tools needed to provide a great service The first step seems to be over looked when improving these systems and that is to evaluate the needed information According to the Data Information Knowledge and Wisdom required reading article the content of the human mind can be classified into five categories data information knowledge understanding and wisdom Companies have to understand these five categories and how they are processed The article refers to this as knowledge management and this is important to apply to the strategies when changing these theories According to this article information is defined as data that is processed to be useful provides answers to who what where and when questions Organizations will find better solutions to information overload by not only changing the systems but also by understanding the evolution of how information is delivered As stated earlier the STS is vital to the success and changing how a company delivers the information to their employees According to The Chronicle of Higher Education information overload happens because of things like search engines cause people to become consumed with searching for the right information This article uses Google to validate how people become overwhelmed By typing a few words and clicking the mouse tons of websites and information are at your fingertips Information overload will always be a problem as long as companies do not make the changes to both of these systems Technical and social systems are the hub to having a successful business and these systems should always be consistently improved to make sure the data is not only accurate but is not just in these systems as useless information This given employees the ability to not waste valuable time filtering all of this information to get to much needed directions or guidance Making changes to both systems is the way to go and keep the company up to date on both fronts Upgrading these systems can also be detrimental to companies No matter how much or lack thereof information doesn t change the practical application of the information The Social Media Is Challenging Notions of the Data Information Knowledge and Wisdom DIKW Hierarchy article makes a few good points They use the perfect scenario about three garages each garage is better than the next and it ask which one you would like to get your car fixed at The last garage is the best and offers the best of worlds an experienced mechanic and manuals to complete the job This really breaks down the importance of application after gaining the knowledge of completing a task No matter how much information your technical and social systems have experience will always make the service that much smoother Many jobs value experience over education because the hands on portion of some jobs is just that critical Someone can have all of the information in the world to complete a task and it will take a lot long than someone who has the experience In using the scenario I would think most people would want a experienced mechanic with written guidance over a shop that has less qualified people This all goes back to providing a customer timely and competent services to ensure they are satisfied Many people learn but doing and not reading so you can have all of the information in the world and still not complete a task A perfect example of this is to give someone stepbystep direction on how to build an engine Give them all of the materials and tools needed and see if they can do it Now find a mechanic who has built engines and see who can complete the job in a faster and more efficient manner Just because someone has all of the directions doesn t mean they can necessary complete the task On the other side of the coin some people can follow instructions and at least build the engine When making these changes to avoid information overload the companies have to understand a few things like the job at hand personnel performing the task and required equipment to complete the task When this is understood the companies have a better shot at making sure they capture the vital information needed to provide a quality product and service Knowledge is very important but it is nothing without practical application This is why the experience is so very important no matter the task Trying to avoid information overload can cause companies many problems if not done correctly Another problem with try to avoid information overload is vital information can be left out Many times when this information is trimmed down valuable information can be deleted in the process When reducing this information companies have to have someone who is a subject matter expert on the procedure You wouldn t want a salesperson deciding what is important to a truck driver When information is cut down very important steps can be cut out This would make the whole information overload reduction worthless This could be a reason why the reduction could not be as big of a factor as previously discussed Information overload could quickly become the least of a company s problem if this isn t done correctly When reviewing the background information it discusses how many people are hands on learners and must do a job a few times to get the hang of it This supports my earlier stance on information only being a small portion of successfully completing a job Having this information on hand is a great tool but the employee should already have the experience and the information is just used as a road map or quick reference to stay on track Even the most experienced technicians need something to refer to No matter how many times someone has done a job they will need to refer to a checklist of some sort to ensure no steps are missed After writing the counter argument to this assignment I still stand behind my initial decision The information overload has become a problem and it has affected many companies and employees but it is a very necessary tool for any job The reason being is companies hope that providing this information helps the person complete the job The problem here is that too much information is given and that is the issue This is something that affects productivity and can provided unsatisfactory customer service to people and force the company to reevaluate how business is done As an employer I would want to equip my employees with all of the tools needed to do a good job How can you fairly evaluate a process if the person you are evaluated is not armed with the knowledge and resources to complete a job This is the company failing their people and not setting them up for success This causes the employee to look bad and no organization wants to deal with that They want to make sure information is accurate and easily accessible for all This helps them make sure all information is up to date and everyone is on the same page Information is the blueprint to success and every organization wants to be successful No matter the goal is it financial or just to educate CONCLUSION In conclusion information overload has been something that has affected this country for decades As people get smarter and learn more ways to bring this information to people in the quickest way possible With all of this power at someone s fingertips it can become overwhelming for anyone searching for information As far as organizations go they too have been affected by this and must ensure the most up to date information is given This could be for information about the organization or when performing jobs inside the organization Information is vital but too much can be harmful and consume many people Most people just want to access the information without dedicating hours of searching BIBILOGRAPHY 1 Trident University Background information Management Information System and Business Strategy
