The previously mentioned management group is a wellknown host to many conferences centers, dream vacations, and destination resorts. Supporting business ventures include areas specializing in recreation, hotel, health promotion, dining, and entertainment. Among the most notable is the Baderman Island Resort, which opened to the public in 2004, and consists of three hotel locations. Each location provides a variety of retail establishments from specialty shopping to fine dining. All Baderman locations are supervised by the Boardman Management Group. Boardman Management Group (BMG) is constantly working to improve each entity within its group. The successful executions of past goals, and missions, have helped to mold BMG into a wellestablished management group. The focus of discussion with the group is to update and maintain a universal word processing solution among all entities. The goal is to meet current needs, with cuttingedge word processing features, and to establish a futureproof technology implementation, where applicable. The following is a proposal report that covers each of the objectives necessary to meet the BMG requirements. Further, there are several options and featurebenefits detailed for the Microsoft Office and Open Office software suites. This discussion will cover the following areas: Project Purpose and Goals BMG Business Requirements Proposal Recommendations Word Processing Software Upgrade 4 Projected Economics Model Technical Feasibility Operational Feasibility Project Risk Assessment Project Completed Maintenance Plan Purpose and Projected Goals The focus of discussion with the Boardman Management Group is to implement a universal word processing solution among all Baderman Island Resort entities. The goal is to meet current needs with word processing features. The project is also allowing system updates where applicable. Scope of project: There are various inconsistencies spotted within Baderman Island Resort software. Because there are many word processing applications currently exist within the software market, outside expertise is contracted to sift through, and assist in possible software transition. BMG has contracted Smith Systems Consulting to help evaluate the Baderman Island Resort functional needs, provide recommendations, and facilitate any third party bidding and implementation concerns. The current software consists of multiple versions of Microsoft Office, and a mix of different systems that the software is deployed. The following chart is a reference point created for Smith Systems Consulting for the initial phases of planning and implementation. Further, this project assumes that the current network and communications infrastructure is sufficient for the time being, with potential to improve upon in a nearfuture update project. 1. Once a thorough data wipe is performed on any complete hardware system that is being replaced, Smith Services Consulting will facilitate company to employee or the local schools donations. The donations will offer tax cuts for the business, reduce the overall project price, and increase the business asset Return on Investments (ROI). 3. Dell Exchange Program, in addition to its environmental benefits (which has implemented a welldefined plan for disposing of computer assets), will greatly assist this company financially. Assets not contributing to productivity should be disposed because the assets can become a drag on ROI. Not only does disposal reduce the average investment (denominator of ROI), it can also improve net income through gains on sales or reductions in tax payments (numerator of ROI) (NYSSCPA, 2006). Business requirements Gathering Techniques Word Processing Software Upgrade 6 Business needs and functionality are the outlining parameter of Boardman Management Group business requirements for the Baderman Island Resort project. The correct software package will enhance communication, streamline organization, target performance needs, and have a flexible learning atmosphere. The word processing software use by the Baderman Island Resort Employees touches on each of these categories, thus contributing to greater productivity and profitability with a successful software upgrade. To guarantee the success of the software upgrade project, Smith Systems Consulting will use their team of experienced business and software analysts to test various scenarios and processes of the system. An assigned representative from BMG, and an analyst from Smith Systems Consulting, will conduct business interviews with all of the stakeholders. In these interviews a series of questionnaires has been developed for stakeholder options on the project. The representative and analyst will then review the questionnaires, and create a post calendar of events. The calendar of events will keep all stakeholders, and associated parties, maintain with up to date project milestones and other objectives. Further, the documentation that details the progress and efforts, are designed to improve each milestone throughout the project, and will continue to be compiled throughout the interview process and systems evaluations. Confirmed Requirements versus Mandatory Requirements Confirmed requirements are classified as mandatory priorities within the system requirements. Other requirements, which are considered optional, are listed as reference, as they will be considered a nonsuccess indicator for requirements development. Rosenberg, in “Testing Metrics for Requirements,” defines the lack of options as an indicator of quantifiable testing and successful requirements (Rosenberg, et al, 2009). Entities such as autocorrect feature, autocomplete feature, and multipage viewing will help performance in eliminating unnecessary mistakes, and enhance multitasking capabilities. Higher prioritizing of needs, such as a preinstalled and custom template system, standard conversion to related document types, and meeting minimal system requirements will help stream organizational assets; thus enhancing productivity across the company and further influencing communication between each individual department. BMG has set budget constraints to be under $100,000 for the proposed software upgrade. All relevant materials and supplies, upon approval of project lead, will be provided, as well as desktop and system support after hours. This action weighs against the defined requirement needs for the Baderman Island Resort and determines the best path to move forward. A cornerstone factor to consider includes reviewing the sales goals, with the current business model, to implement an accurate set of new benefitting features system wide. Smith Systems Consulting also uses the following upgrade rubric as a roadmap in assessing Baderman Island Management Groups goals and objectives for the upcoming project. When is the proper time to upgrade? What is the feasibility of previous software compatibility to upgrade? Is additional hardware or software resources needed for upgrade? What will the user and stakeholder involvement in the upgrade process? What factors need considered in determining outside vendor? Will current data systems need purging or upgraded during the software upgrade? Will current applications within the environment require upgrade during the process? Will a network wide operating system upgrade be necessary during the process? What is the planned approach for risk during specific objectives? Smith Systems Consulting first considers implementation alternatives. BMG will need to identify several alternatives, and compare through a possible preset test phase. What type of processing software? Word Processing Software Upgrade 11 Is a licensed version necessary with full technical support, or is a less supported open license the direction to go? Should the software be built in one or more languages? Is a package deal available through the vendor for easier integration? Microsoft Office 2010 Professional and Open Office Comparison Each suggested piece of software offers a plethora of positive enhancements to the current software structure. Microsoft Office Professional Plus has a wider variety of options, whereas Sun’s open Office is cheaper. One concern is with Oracle taking over Sun Microsystems and the unforeseen extent will Oracle continue to support the Open Office system. Open Office implements a simple context platform. The Open Office software suite includes database, drawing, and spreadsheets applications, in addition to word processing capabilities. The context platform adds simplicity, and flexibility, without the elegancy of Microsoft Office. Open Office, has a greater initial load time versus Microsoft, but the transparency within the relating applications remains smooth. Open Office remains stronger, using smaller filer size format, and variety of options for overall storage space. Open Office is an open source product, and with easy portability, and feature to use removable drives. Open Office may not have the extensive onsite support, which is so prevalent in Microsoft, but support does remain open through blogs and wiki sites. Each Suite runs equally well, Open Office has a greater following within the single user communities, as Microsoft remains stronger in numbers within the Enterprise and corporate communities. The de facto current business and educational systems standard remains to be the Microsoft Office software suite series. Word Processing Software Upgrade 12 Microsoft Word versus Open Office Writer Open Office Writer, which is the previously mentioned Open Office word processing software, uses a context menu approach, representing Microsoft’s older format, before the inception of the ribbon in the Microsoft Office 2007 release. Microsoft Office Word and Open Office Writer, fall within the category of general word processing software. Both allow image insertion, full grammar spell checker, use of nonstandardized templates, and much more. However, Microsoft Office does outperform in all transitional speed and performance measures. The additional support through Macroenabled content, style and format options, and the variety of contentdriven features and addins further propels Microsoft Word as the better choice. That is, if the price versus freeware is not a deterrent. Other Key Comparisons within Suites The Microsoft Office feature known as the “Ribbon” has improved greatly since the conception in 2007. Although many users first shun the Ribbon, it is now not only accepted, it is preferred by many. Although there are some core differences that remain. Open Office has added a database application, similar to Microsoft Access. This recent addition to the Open Office software suite took almost a decade to implement. Another key feature to consider is that Open Office does not currently support an email client. Office Outlook 2010 is included in the Microsoft software suite. This is a very important feature for businesses of any size (webbased email clients are less secure and may open holes in security). Microsoft Office 2010 Professional Plus wins in overall timemanagement and communication features. Word Processing Software Upgrade 13 Below is a comparison chart that details the different versions of Microsoft Office 2010 that was obtained from the official website. The following figure highlights some of these features that were retrieved from the official Microsoft Office 2010 product website. Doing so is easy to determine the financial short and longterm success of the entire upgrade project. A costbenefit analysis compares costs to final benefits. The analysis looks at benefits first, keeping the primary objective within the project in mind: improving Baderman Island Resort overall organizational performance. Smith Systems Consulting was provided a chart of current hardware and software (Table 1), which details the systems that are to be updated to meet the project objective. As a prerequisite, the chart will help assess the technical feasibility of the project. In determining the possibilities of success, Smith Consulting must investigate all technologies to be used. Word Processing Software Upgrade 15 Advantages and disadvantages will be outlined, relating to each software alternative in relationship to current or future hardware. Determining economic and technical aspects make sense in outlining transition. Smith Consulting may need to recommend maintenance, support, or training in determining operational sense of the project. Additionally, the Baderman Management Group, and project stakeholders, needs to know once the application is in production, will the current operational and support infrastructure be enough. This analysis will determine operational feasibility. Software Cost The first thing to consider when upgrading the current word processing software to a newer version is the initial and overall costs. The various options outlined in the sections above have different initial costs. First, consider the Open Office software suite. The initial costs for this product is free, or $0.00. However, there may be hidden or additional costs that will accrue initially, and later. The first hidden cost will affect the total productivity and bottom line profitability during the transitional phase for each employee. More experienced computer software users may evolve their skills more easily than others. Support and management personnel will need further training. There are numerous free websites readily available for reference. Additionally, third party vendor support may also be purchased from certified professionals in the OpenOffice.org groups. These support contracts start with general support and business contact assistance, to consistent 24/7 oncall contact. Microsoft Word 2010 is a product that offers in a variety of flavors: standalone software license, and bundled in a number of Microsoft Office 2010 software suites. The initial cost per Word Processing Software Upgrade 16 license for Word 2010 only is $124.99. The “best bang for the buck” productivity suite is Microsoft Office 2010 Professional, which is $299.99 each. The difference in price may be substantial; however, as detailed in the above sections, the additional software that is included in the bundle will help increase the Baderman Island resort organization profitability in the long term. To ease the initial costs, Microsoft offers bulk purchase discounts of up to 25% when buying multiple software licenses at one time. This means a discount of up to $31.25 per license (around $93.75 after the discount) for the Microsoft Word 2010 only software, and up to $75.00 off the entire Microsoft Office 2010 Professional suite (for a final price of $224.99 per license – Smith Systems Consulting has provided a much cheaper price for out preferred customers at $139.99/each). Another point to keep in mind is that the Microsoft line of software products is considered the business standard. More people are familiar with said products resulting in a larger client and support base. The hidden costs of training and support may be greatly reduced. Considering all of the aforementioned items, the preferred choice is Microsoft Office 2010 Professional. Hardware Each of the options that Smith Systems Consulting has provided for the Boardman Management Group, and Baderman Island Resort, will require a hardware upgrade to replace the current technology. As mentioned in the previous sections, upgrading the hardware will result in longterm benefits. Coupled with the shortterm tax credits, the initial cost will be greatly reduced at the turn of the year when the tax statements are prepared. Word Processing Software Upgrade 17 A variety of vendors are available to choose from when purchasing new computer hardware. These range from locally owned and independent shops, to large enterprise scale manufacturers that offer a plethora of benefits for business to business purchases. From experience, and a number of years in proven business support, Smith Systems Consulting recommends two options Dell Computer and Hewlett Packard. Both companies offer awardwinning and continuous support (that will greatly benefit Baderman Island Resort) and nearly identical features and prices. Figure 3 – Example hardware spec sheet For the purposes of this analysis, Smith Systems Consulting has chosen to show a prototype system breakdown from Dell, although HP offered an identical system. The screenshot above further details the computer system specifications. This system starts from $650 per system, to $750 each. However, there are also bulk discounts and business to business offers that both companies provide. Word Processing Software Upgrade 18 Rather than purchasing the hardware systems outright, both Dell, and HP, offer corporate leasing programs. This will allow substantial system discounts and a monthly payment program. At the end of the hardware lease, both companies offer buyout programs and lease upgrade options. A few of the key benefits are listed below: • Bundled solutions – Onestop shopping of hardware (HP and nonHP), software, installation and maintenance services into one lease with a single monthly payment. • Cost vs. Usage – Tailored terms based on need and usage rather than full cost of equipment. • Low minimums – Transactions as low as US$349. Simplified process – Streamlined procedures, a dedicated call center and a onepage SMB lease • agreement are designed to help you get the technology you need without a lot of hassle. • Flexible terms – Multiple options including 12, 24, 36, 48 and 60 month plans. • Fixed rate – Pay the same rate through your entire lease. • End of lease – Options include owning your equipment at the end of the term or simply returning the equipment to us. • Upgrade – As new equipment becomes available you can upgrade to the latest models each time your lease ends. Further calculations may be provided upon request. However, a third party source recently interviewed a number of companies that upgraded from the Windows XP operating system (and other programs) to the current version named Windows 7: IDC interviewed hundreds of SMBs around the world and found an average return on investment (ROI) of 318 percent for Windows 7. The payback period averaged eight months, although results varied depending on company size, geography, and deployment method. (IDC, 2010) With the substantially improved hardware that is to be implemented, which is much more drastic than the companies within the IDC survey, the project ROI for the Baderman Island Resort will be greater than the specified 318%. The management reviews said document then provides the employee with a bulleted list of items to work on. Because these costs and benefits are accrued at different times (immediate and the future), converting the costs to presentday values to compare them fairly is also required. Word Processing Software Upgrade 22 Two lines of thought regarding qualitative cost/benefit analysis exist. The first strategy is to keep the subject simple and go with instincts: if the project seems like a good idea, then it most likely is. The second line of though is that you can quantify the qualitative aspects of a project and thereby compare them fairly. My experience is that it is so easy to make the results come out any way that you want them too that you're effectively doing busy work to explain your "gut feel" decision. If this is the case, stop wasting everybody's time and simply admit that you're making a judgmentbased decision. How is it possible to quantify the qualitative factors? To do so, follow these steps: 1. Identify the qualitative factors. Brainstorming with several people is usually a good option. 2. Quantify the importance of each factor to your organization. For example, give each factor a rating of one to five, where five is the most important. 3. Numerically rate each alternative against each qualitative factor. For example, rate each alternative on a scale of zero to ten where ten is the highest possible rating. 4. Multiply the importance weighting by the rating for each alternative. 5. Calculate the overall score for each alternative by summing the individual scores. Risk assessment and mitigation strategies need to be understood within the affected organization and stakeholders. As understanding the risk is only the first step, adequate steps in avoidance and situation handling is pertinent. Organization objectives need to be matched with the organizational environment. Prioritization should be used through practical approaches, such as vulnerabilities and threat being addressed first. The phases for this project include a proposal phase – this is the phase of the project where we research what exactly is need, what is expected, time frame for the expected completion of the project and the legal matter required to facilitate the contract agreements. The second phase is the equipment Word Processing Software Upgrade 27 phase – this phase of the project incorporates the required equipment is ordered, configured, and shipped to the site for installation. The third phase is broken down into two sections training and installation. Training for the users should take place the day of or before the installation for that department of employees. The installation schedule should be kept in line with the training schedule, but if the installation schedule falls behind the training schedule should continue. The final phase of the project is the support phase. This phase is the time when support is provided to the end users after the system upgrades have been completed. Milestones The milestones for this project are the obvious completion milestones for any migration style project. The first milestone will be the completion of the proposal phase. The second is the completion of the ordering phase. The completion of installation and training is the third mile stone, and the final milestone is the completion of the project. The milestones are determined by the importance of the completion of that phase of the project. The first level of testing will be hardware testing and program compatibility testing. BMG is purchasing what is considered a purchased application. The advantages of using this type of approach over ground up software development is well known functionality, lower cost, and availability of maintenance, to name a few. Because legacy systems will be replaced, the new workstations have to be tested for software compatibility, not only with the word processing program, but also with other essential programs specific to job functions. The advantage of this type of testing is that the workstations will be loaded with the word processing application as a default application. The next step in testing will be conducted on workstations that will be upgraded with the new software. The workstations that will be upgraded will have the same type of testing as the Word Processing Software Upgrade 29 new workstations. Some compatibility testing also has to be done on these workstations. For example, a workstation could have an old version of Outlook that is not compatible with the new word processing software. These types of issues should be examined in earlier stages, but still have to be tested at this stage of the software development. Training To enhance flexible learning atmosphere, the training would be done on the basis of education, training, and awareness. All trainees would be provided with training manuals attributed to the upgrade. The training program could consist of upgrading policies, and a process for monitoring and reviewing the software upgrade. The training manuals would cover the entire users and staff activities of the resort. The training manual would serve as a resource to disseminate information to users and staff as well as the management team of Baderman Island Resorts to facilitate the effectiveness of the program. All upgraded material related to the training program would be deployed and implemented as stated in the training policies of the organization. For the training program to be efficient, all training policies and procedures would be communicated to the appropriate y training process, all users or staff would able to receive a pamphlet that explains their expectations during the training process. Each training session would be accompanied by a video that entails the training process on how to upgrade the system. An instructor would be available to explain the procedures of the training program. Additionally, a webbased training, and nonweb, computerbased training also can be used as part of an instructorled training session. Therefore, users, staff and executive management comprehend the essence of the program.
