Math 115A Database Functions and Filtering Name Most of this class deals with retrieving information from a database Today we are going to learn to use Excel to help us retrieve this information so that we don39t have to hand count it Of course if you would rather you are more than welcome to hand count the over 8000 pieces of data for the project I would not recommend it however For this worksheet we will use the database Carsxls from the textbook All the functions that we will use to organize the data can be found in the subcategory Database under Function in the Insert menu There are three inputs for these types of functions 1 database This is where you specify where the data is in your file For example in the file Carsxls the database is in the worksheet Records and the range of cells is B12F384 You need to include the part of the database that tells you what each column represents ie the column heads 2 eld This tells Excel in which column you are interested You will need to use this with DAVERAGE You will want to put the name of the column in quotes Also make sure that it is capitalized exactly as it appears in the database 3 criteria This is where you specify exactly what types of records you want Excel to count The best way to do this is to copy the very first row of the database the one with all the information on what each column holds and the second row Change the second row to fit your requirements Example How many Toyotas were repaired in Arizona 1 Insert a blank worksheet in the file Carsxls 2 Copy the first two lines of the database And paste them on the clean worksheet Model Model Year Location of Repair Estimated Speed mph Repair Cost Jeep 1994 Utah 09 1000 3 Change the Model to Toyota and the Location of Repair to Arizona Delete the Model Year Speed and Cost This table of two rows represents the criteria you want You can add rows and columns to this table depending on what you wish to do lModelr Model Year Location of Repair Estimated Speed mphvRepair Cost lToyota Arizona 4 Select a cell where you want the answer Click on the DCOUNT function Put in Records 1B122F384 for Database leave the field option blank and put in the location of your table of criteria for criteria For example you will enter H122L13 for criteria if your table is in that location Then click OK and the answer will appear in the cell you selected Once you know the syntax of the function you can simply enter DCOUNTRecords1B122F384H12L13 in an empty cell It will be a good idea if you put a sentence next to the cell where your answer is saying what the number represents It will be very confusing if you just have random numbers all over your Excel file I want you to do the following exercises I have provided hints where I think they might be necessary The textbook is a very good source 1 8 10 11 Problem 7 Hint How many Fords in the database were repaired in Arizona 7 Use gt500 and lt2000 You can add an extra column with the correct heading to the table that you created How many Chevrolets cost between 500 and 2000 to repair How many Jeeps were repaired in Utah or in 7 You can have more than one row on the table that you New Mexico create How many vehicles that were repaired were from the years 1992 or 1997 What is the average speed of Chevrolets that were repaired in Colorado You Will new to use DA VERAGE IiWhat is the average cost of repairs for Jeeps in New Mexico What was the most expensive repair cost of all Fords A39What is the total cost of repairing the Toyotas I 2111 Utah What is the probability that I will pay more than 1500 to repair my Toyota You will need to compute two numbers and then divide them Estimate the probability that a repaired vehicle 39will have crashed at a speed of at most 5 mph Design and compute two questions of your own concerning probability 1 Let39s go back to the example Suppose you want to view the records of all Toyotas repaired in Arizona To do so go to Data then lter then Advanced lter You will need to enter similar information as for DCOUNT The only additional information you need to give is the location where you want the data to appear For the Copy To option enter the cell address of the upper left corner of the region where you want the data to appear Try this with Problems 1 and 2 above
