Anticipate Audience: Profile, Tailor, Primary v. Secondary audiences Adapt: Delivery, Tone and Rate Professional v. Conversational Use positive wording: Avoid words like: complaint, defective, failed Bias-Free, neutral language: fireFIGHTER, congressPERSON Familiar Words: Strong words, Avoid Jargon Be Courteous: Manners will get you everywhere Precise: Hedging, No Hyperbole, attention to what you DO have vs what you DON’T Use active voice for most business writing. Use passive voice to de- emphasize negative news. Active Voice: Subject is the doer of the action. Example: Staples shipped our office supplies today. Passive Voice: Subject is acted upon. Example: The office supplies were shipped by staples. Direct Pattern – Put the good news up front. Get straight to the point and then spedn the space after explaining. Best if the audience will be pleased, mildly interested, or neutral. Indirect Pattern – In the event you have somethingto share that your audience will be: uninterested, displeased, or hostile. Reveal bad information later. Direct Paragraph: Topic Sentence THEN supporting sentences. Use the preview sentence. DON’T USE firstly secondly thirdly Avoid these words in direct and active writing: - I believe or I think - I hope - Very, Really, Actually, Extremely - SO much, So very much Take extra words that do not add meaning out. Sentences and Grammar DO not use run-on sentences, semicolons are good, but don’t use them too often Do not join two independent clauses – comma splice. Executive Summary Assignment 1 - Due Tuesday 7/19 before class - Executive Summary will evaluate an online business publication article. Article must be over 1000 words. - Hint: Use Lexis Nexis or Factivia as your search engines to find these articles. If you have not chosen a major or you cannot find an interenet article about your major, you may use an article about general business communication issues. - General requirements o One page single spaced, 12 pt. font, one inch margins. o This is an Informative Assignment o Where you need to start?  Researching UT database for an article Outlining problem, don’t argue anything An executive summary condenses a complicated bulk of information into a shorter, organized, and meaningful document Organization - Header: Executive Summary (Centered, Bolded) - Intro (no heading) o Should briefly explain the situation, context of situation, who wrote article, in what publication, and preview your main points/sections of the executive summary. - Background o The background section is a global overview of the issue as it is described in the article - Analysis o Analysis section is a close reading of the text (article). Meaning, you are summarizing the authors argument, as well as explaining how the author makes the argument, and why the author is making an argument. The analysis heading should be a summarized, yet detailed, explanation of the article. - Stakeholders o Who is involved and how are they affected? - Summary/Conclusion o This is your voice and analysis, and written in a direct pattern and first person language. What do you think? What would you do? What did they get right or wrong? Make sure everything is consistent 2 required sections of bullets in analysis and stakeholders A section of bullets is 3-6 bullet points, and each bullet has a key word or main word that is either underlined and/or bolded (drawing reader in), and after the colon (not bolded) is a description of the key main word. All bulleted sections have a preview statement How to be successful – start assignment early, have a topic soon, come with questions on Monday, read assignment sheet carefully, reference these notes to avoid small errors that can add up A preview statement is the end of the intro that tells the listener/reader the organization and information of the paper Bullets always indented, .5 to 1.0 inches Punctuation always inside quotations, no ENDING punctuation for bullet points Informative Speaking (2-3 min) Organization Introduction - Attention Getter - Thesis statement - Preview Body - Main point 1 - Main point 2 - Each main point must be developed and explained Conclusion - Restate thesis – Bookend - Tie back to attention getter – Bookend Rules of Engagement #1 Be the presentation Command & Attention Getter #2 Accomplish your goal What do you want to achieve #3 Manage your audience Delivery (return to notes from elevator speech) Three parts of a speech Tell em what youre gonna tell em (The Intro) Tell em (The Body) Tell em what you’ve told em (The Conclusion) Start strong, end strong People basically only remember the beginning and the end Steps in preparing an effective presentation 1. Narrow topic 2. Determine purpose a. Specific: Narrowing your focus to what you can accomplish in your presentation (sets up the central idea) 3. Develop central idea 4. Generate, prepare and organize your main ideas 5 purposes of an intro 1. Attention Getter 2. Relate to Audience (why is this relevant) 3. Establish Credibility/Ethos (through command/delivery) 4. State Central Idea/Introduce the topic 5. Preview main points Monroe’s Motivated Sequence - Attention: Grabs audience attention, make your audience/investor want your product o Do not start with group intros (that comes in the preview) - Need: Show that there is a need (e.g. through cognitive dissonance); take into account personal interests of audience, how does your product/idea fill some gap in the market-place - Satisfaction: Satisfy in the form of a solution or plan; alleviate dissonance, What does your product/idea do that a competitor in the market does not do - Visualization: Vision of world with AND without solution, what does the world look like with/without the product - Action: What should the audience do to satisfy the need, why should the shark invest o Ask for the money Intro - Hook – Attention Getter - Take Away or Thesis/Need – Money Ask – ROI - Preview Statement of Main Points/Team Intro Body - Two or Three Main Points o This is your anecdotal or research evidence that supports each main point - Most important point first - Have a transition (verbal/nonverbal) between each main point Conclusion - Bookend – No new intro – Bring us back to your hook, restart the main points, and connect info to your overall take away o ‘Excited to take questions’ Using visual aides
