AOT 143 Office Systems and Procedures Week One—August 22, 2016 ON FIRST IMPRESSIONS: Pay close attention to how you write and talk How do you speak? This, as well as how you dress and carry yourself, is very important in your first impression. You only get one chance to make that impression —make it count. IN THIS CLASS: Come to class prepared, have something to say IN THIS FIELD:  This is one of the most valued office positions: be proud of your profession.  YOU DON’T HAVE TO STAY HERE. This major is a stepping stone for so much more  It’s not what you say, it’s how you say it  It’s not enough to format your writing correctly, it needs to communicate well  Critical thinking is very important in this field.  You should know more than the schedule  Troubleshoot, do what you have to do, but find out Don’t ever tell anyone you don’t know something and leave it at that. You should always offer to find out WHAT, EXACTLY, DO WE DO?  Answer telephones  Manage schedules  Arrange, distribute announcements for and minutes from meetings  Handle mail  Memos—you are required occasionally to write and usually to edit them  bookkeeping  You are the face of your company. Make it a good one Traditional Schedule: 8-4 or 9-5 Alternative Schedule: flexible, compressed work weeks, etc. Both temporary and virtual assistants are becoming popular in this field.
