Pre-Comp document only difference from an email pre comp is the 2-inch margin 2. Date line: Spell out month, add the day, place a comma, space, then year. (Ex. January 6, 2016) 3. Space between date line and inside address 4. Inside Address: Will have a minimum of 3 line 1. Company name 2. Street Address- No Abbreviations 3. City, Postal abbreviation of State & Zip code If you have a Job single word job title, have it on the same line Ex. Rob Stewart, Supervisor If you have a multi-word job title, place title under person’s name Ex. Cecil Tarrant Assistant Professor The Name and job title should be placed on top of the inside address Ex. Rob Stewart, Supervisor Comp. Name Street Address City, Postal Abbreviation of State and Zip code (4-6 spaces between address and salutation) 5. Salutation: Dear Ms./Mr.Name Double Space 6. Body (Given) Double space 7. Comp. Close: Sincerely, Enter 4-6 times 8. Typed Signature- Official signature if sent via email If being sent by regular postal mail, print out paper and sign name with black or blue ink Side note: Only time to put a Mr./ Ms. on job title is when you have a unisex name and it’s the first time communicating with the individual. 2 Charts Displayed Technique: Anything other than a straight narrative. 1. For Clarity: Present to make it easier for a reader to understand 2. To expedite and enhance the problem solving and decision making. Can be a list, chart, picture, graph, header, title, ect. *We will focus on graphical display techniques Topic/Functional Title means the same thing. -Lets the reader know what they are going to be looking at or reading about. (Ex. BCOM 320 Grades Fall 2016) Talking Header: Gives a specific message to the reader you don’t want them to miss. (Ex. 80% Of All BCOM 320 Students Pass) A pie graph would be appropriate to illustrate this example. 3D pie charts should be avoided for professional business reports 3
